PROBATION TRACKER™ PROBATION MANAGEMENT SOFTWARE
Probation Tracker™ stores case data, creates caseload reports and financial reports, and automatically generates forms courts need to handle a probationer’s case. All programming is easy to use – even for clients with very little computer knowledge. The system tracks the entire lifecycle of an officer’s caseload by automatically generating thorough reports. As a result, no case detail slips through the cracks. Here a few examples of Probation Tracker at work:

     
Data Entry Screens  
 
 

Each case has 13 different data screens that house all pertinent information:

Admin: Name/sentencing information

Address: Residential/mailing address

Contacts: Contact info for probationer and associates

Employment: Current employer information

Identifier: Info (and photo) on probationer’s appearance, automobile and language

Offense: Charges and fine amounts for each offense

Probation Status: Active, Medical Hold, Warrant, Jail Hold, Unsupervised, etc.

Upcoming Hearings: CRO Compliance Review, Driving School Review, Community Service Review, Revocation Hearing, plus many others.

Appointments: Attendance record and notes for all scheduled appointments

Financial: Balances, payment histories and receipts

Community Service: Activities and hours worked

 
 
     
Caseload Reports  
 
 

The system extracts all information from the data entry screens to create highly detailed reports. These reports are used to track specific information about the caseload, including:

Case Activity Totals: Tracks and categorizes cases by active cases, successful termination, probation revoked, probation violation, warrant, unsuccessful term, jail hold and medical hold

Caseload by PO: Total number of cases a probation officer is currently managing

Expiration Listing: Lists cases set to expire in a specified date range

Appointment List: Lists scheduled appointments in a specified date range

Cases by Charge: Breaks down probationers by offense

No Activity 30+: Lists probationers who have not made payments in 30 or more days

Failure to Report: Shows probationers who have failed to attend appointments

Jail Incarceration: Lists probationers currently incarcerated (and where)

 
 
       
Financial Reports  
 
 

These reports track all monies that change hands between the probationer and JCS officers:

Financial Activity by Court and Probationer: Tracks monies collected by a specified date range and separates each payment by category and probationer

Court Financials: Reveals all fine monies collected from the city during a specified date range and details the balance of fines owed to the city
