What is InService?
InService is a web-based tool for tracking civil process and warrants and monitoring field activity. In addition to centralizing
and organizing the paper traffic in your office, it provides automatic notification to attorneys and plaintiffs when papers are served. This cuts down dramatically on telephone calls and inquiries.

How does it work?
Information on each paper is entered into the system using a simple data entry screen. The system generates a bar-coded cover sheet which is then attached to the document. At the start of each shift, deputies log out each paper with a simple
scan of the bar code. At the end of the shift the bar code is scanned again, along with an additional bar code to describe the
current status of the paper. The system tracks complete history of each attempt to serve every document, as well as
comments related to the document.

Does it meet CALEA requirements?

InService will help you comply with CALEA standards (Chapter 74) for tracking of civil documents.

How many users can I have on the system?

InService allows an unlimited number of users. There is no per-seat license charge. Because the system is web-based,
it’s easy to give multiple offices and locations access to pertinent data.

Do you provide training?

The system is very easy and intuitive to use. After a quick training session you’re ready to go. However, there is no
specialized technical knowledge required to use InService.

What type of computer system do I need to run InService?
InService is accessible from any computer with an Internet connection and a browser. All you do is log in. All upgrades and updates are completed on the central server so there’s never any software maintenance required from the customer.

Is my data secure with InService?
Completely.

During Transmission: To protect your data as it is transmitted, we use 128-bit encryption. The 128 refers to the size of the
key used to encrypt the message. Security specialists estimate it would take significantly longer than the age of the
universe to crack a 128-bit key. The Federal government uses this standard, as do financial institutions, retailers and most other services that transfer sensitive information over the Internet.

While It Is Stored: To ensure the highest level of security for our customers, we selected an Inflow data center to handle
our database. Physical access to the facility requires a key card and a bio-metric fingerprint scan. In addition, the entire
facility is monitored continually and recorded on closed circuit TV. Dedicated servers are connected to the Internet via triple-redundant OC3 fiber optics. Power is supplied by redundant commercial UPS systems backed up by diesel generators. Temperature is maintained at a consistent 69o. These precautions against hardware failure are supplemented by complete database backups every 24 hours. A secure file server at a separate facility houses one week’s worth of backup files.
Data is protected from attack over the network by sophisticated firewall management as well as continuous network,
hardware and application monitoring. Finally, you may back up your data onto your server if you wish. This gives you the ultimate security of your data.

Is there a way to give the public access to serve status information?
I’d like to reduce the number of phone calls the office receives.
InService can cut down on your telephone traffic in two ways. First, the system provides an option to automatically notify
the plaintiff and attorneys involved in the case when a paper is served. Second, a separate URL is provided for the public
to check to see if a paper has been served. A complete history is maintained on each document, reducing complaints and
conflicts over attempts to serve the paper.

Does this system handle all types of papers the same way?
Yes and no. Every paper to move through the system is tracked with complete historical documentation of attempts to
serve the paper and any comments made by the deputies involved. Urgent papers, such as Family Violence Orders, are highlighted by the system so supervisors can give them the necessary priority.

Seems as though the scanning would take more time, not less.
You’ll be amazed by the amount of time InService will save. Once the papers are entered, the system automatically sorts
the work by zip code and supplies a printable map for each deputy’s work. You have immediate access to details of
previous attempts to serve a paper, along with any comments made by the deputies involved. The bar code entry also
helps eliminate errors ranging from incorrect docket numbers to illegible handwriting. Outstanding work and urgent papers
are clearly color-coded so supervisors can see their status at a glance. No more confusion at change of shift, no more lost
or forgotten work. Logging papers out or in typically takes less than 5 minutes.

We’re already entering our civil information into a computer, why do I need this?
InService is more than an “electronic docket book”. We provide field activity, officer cautions, and searchability. In most
cases, the information that is already being entered into your system can be imported into InService, thereby saving you
even more time.

Can the system do reports?
InService keeps up to date statistics on department activity and daily inventory as well as individual deputy statistics.
Historical data can be sorted for annual or other period reporting. With couple clicks of the mouse you can see number of papers received, number served, where they are assigned, who is serving papers, whose not & how they are being served.
This touches on just some of the data you can easily access.

How does the system improve productivity?
Like kind work is lumped together, whether by address or defendant. Special serve instructions (such as weekend service
only or gate codes) are highlighted. Office staff can look up details from the computer, not chasing the paper around the
office. Reports are easily generated, no more hand tallying information.

How does InService improve officer safety?
Special cautions are highlighted (such as weapon alerts, vicious dogs, etc). Notes from one deputy to the next are auto-matically printed when documents are logged out. Deputies can check history service records easily to learn of past
problems with a given defendant.

Who are you guys?
Judicial Correction Services, Inc is run by current and former police officers and deputies. Collectively, the management
team of JCS has more than 50 years experience in law enforcement, hence our slogan, “By Deputies for Deputies”.
InService was first developed and implemented in 1998 in response to a large county’s problem in keeping ten’s of thou- sands of civil documents moving quickly and efficiently through its system. After a few years of practical field use, we have made it available to you.
